RESERVATIONS and EVENT COORDINATOR

With its children’s museum space closed for the duration of the pandemic, Habitot Children’s Museum’s play and learning exhibits, mobile art studio, and interactive programs are now being presented in community locations, private homes, corporate headquarters, and school sites. Habitot experiences are aimed at young children, ages 0-5, and their families. With funding underwriting 20+ community pop-up events in 2022, plus demand for birthday parties, corporate employee events, and after-school programs increasing, Habitot is seeking a Reservations and Event Coordinator to insure implementation of all programs. The hours will fluctuate between half-time and full time, depending on the number of events scheduled at any given time. The majority of events will take place on weekends.
The RESERVATIONS and EVENT COORDINATOR will handle all scheduling and contracting for event locations, managing participant sign ups and communications, scheduling staffing and securing supplies for all events, being present as check-in coordinator at all events, and as point-person in charge, overseeing set-up, breakdown, all activities, and customer service at events. In other words, there are both administrative tasks (conducted remotely) as well as in-person coordination of public events. The position is supervised by the Managing Director.
Coordinate with Managing Director and Development staff to seek appropriate community locations for events
Fulfill all necessary paperwork, site visits, and payments with granting entities like Park and Rec departments for events
Schedule and supervise all staff and road crew needed for events
Ensure sufficient supplies are ordered in advance for events
Set up Eventbrite posting for participant registrations when needed, processing payments and producing reconciliation reports for accounting
Be available to respond to voicemail and email from event booking parties as well as to event participants at flexible but regularly scheduled hours
Update database with participants/enrollments
Maintain Google calendar for event dates and staff scheduling
Manage all events in person, maintain Covid-19 protocols, and troubleshooting as necessary
Coordinate with development staff for post-program evaluations
Support Social Media staff in event promotion and marketing
• 2-5 years experience in event management and/or customer service with problem-solving skills and ability to navigate unexpected situations
• Available for a maximum of one weekend day a week and weekday remote administrative work scheduled at your convenience
• Willingness to respond to inquiries most days of the week
• Physical stamina and strength required for the on-your-feet needs of event management
• Leadership and organizational skills, multitasking ability, detail-orientation
• Strong verbal communication skills and clear, and concise email writing ability
• Friendly, patient, and responsive demeanor in person and on the phone
• Familiarity with Excel, database software, Google suite, MS Office, platforms like
Mailchimp, Eventbrite and Survey Monkey
• B.A. not required but preferred.
Compensation: $52,000 – $62,000 depending on experience and skills, paid time off, health/dental, and retirement (beginning 7/1/22)

ABOUT THE ORGANIZATION
Habitot Children’s Museum is the East Bay’s hands-on discovery museum designed specifically for infants, toddlers, and preschoolers. Annually since 1998, Habitot’s museum has been serving an estimated 55,000 children primarily from Alameda and Contra Costa counties, and drawing from the entire region. Since the pandemic, Habitot has pivoted to providing virtual and in-person mobile events. A mission-driven nonprofit, Habitot strives to nurture and enrich the lives of young children, their families, and the adults who care for them by providing an environment for early childhood learning and exploration, parenting education, and community outreach. Through hands-on exhibitions, public programs, classes, and workshops, Habitot provides creative, multisensory experiences that promote school readiness and life-long learning.

Volunteers with interest and relevant experience or skills have also coordinated larger projects such as fundraising events like the Community Art Show. These volunteer opportunities require a sustained commitment of time but plenty of reward for “owning” a project. Supervision and training are available.
