Organization Overview
At the Boys & Girls Clubs of the Peninsula (BGCP), our business is changing lives. We are a vibrant, entrepreneurial nonprofit organization that is committed to partnering with schools and the community to ensure students from low-income neighborhoods graduate from high school, ready for college and career. We are the largest expanded learning time organization in the in the heart of Silicon Valley, serving 2,500 K-12 students at 17 sites in East Palo Alto, Menlo Park, and Redwood City. In neighborhoods where one third of the youth drop out of high school, BGCP members learn the importance of education and become part of a community of learners, wanting and expecting to succeed in school. In 3 clubhouses and 14 school sites, we implement proven social and academic interventions and provide engaging enrichments that most impact a youth’s achievement in school and in life.

Position Overview
As Office Clerk, you will work collaboratively with the site leadership team and program staff to help ensure BGCP’s after-school expanded learning time program is run with quality and fidelity. The program is designed to give students targeted academic support, enrichment activities, and homework assistance to improve their school outcomes and interest in learning. The after-school program relies on skilled, energetic staff members who are positive role models. BGCP staff members are individuals committed to youth development, dedicated to quality service, and capable of building positive relationships with youth. This position is at one of our Redwood City program locations. Spanish-fluency is strongly preferred.

Employment Status: Part Time, Non-Exempt 21-28 hours per week
Pay Rate: $17.50 – $19.00 per hour (DOE)
Benefits-Eligible: YES
Expected Work Hours/Schedule: Monday – Friday, either 1:30pm-6:30pm (Exception: Thursdays 12:30pm-6:30pm) or 2:30pm-8:00pm; plus weekly team meeting & additional development trainings
Location: Redwood City, CA

What will you do?

Administrative & Site Management

  • Manage the BGCP office and associated operations during after school program hours
  • Greet, monitor, and track all members and visitors on campus, including parents and volunteers
  • Manage student sign-in and sign-out process
  • Answer all phone calls and return messages in a timely manner
  • Manage office, first aid, and program supply inventories
  • Ensure that the office is neat and organized and fosters physical and emotional safety and customer service
  • Create a positive work atmosphere and foster teamwork and constructive exchange of ideas with peers
  • Manage daily snack process (for school site locations only)
  • Participate in planning and executing special events and field trips as needed
  • Other duties as assigned

Enrollment, Attendance, & Data Management

  • Manage site enrollment and daily attendance
  • Manage all enrollment data in Salesforce, BGCP’s database
  • Manage site enrollment, attendance, and snack data in District systems for ASES reporting purposes (for school site locations only)
  • Generate and communicate attendance and membership reports for site leadership staff and to meet ASES reporting requirements (for school site locations only)

Student, Parent, & School Relationships

  • Build positive relationships with students in the program
  • Support BGCP and school/site-wide behavior standards and discipline policies
  • Set high expectations for students and demand compliance
  • Supervise youth if asked to, either in the office or as coverage for a classroom instructor
  • Communicate with students and families regarding enrollment and attendance issues
  • Greet and welcome parents into the program on a daily basis
  • Respond to parent and school communication promptly
  • Communicate and disperse information about upcoming events and activities to members, families, and the public; ensure that all information posted and dispersed is up to date and accurate
  • Maintain positive relationships with visitors, vendors, volunteers, and other outside stakeholders

What qualifications will the ideal candidate have?

  • Spanish fluency is strongly preferred
  • Commitment to BGCP’s mission and vision and working with K-8 or/and high school youth
  • Experience building relationships with diverse youth communities and constituents
  • Keen attention to detail and ability to create systems for efficiency and effectiveness
  • Maturity and strong communication skills
  • Energy, leadership skills, strong initiative, ability to motivate through positive reinforcement
  • Positive attitude, team player, strong customer service orientation
  • Administrative experience with an excellent knowledge of standard office practices
  • Vaccinated against COVID (prior to start)
  • LiveScan background check clearance and negative TB Test result (prior to start)
  • Mandated Reporter Training certification (prior to start)
  • Sexual Harassment Training certification (prior to start)
