About the Position:  Midpen aims to recruit and retain employees who embody professionalism, accountability, and respect, who value working in an environment focused on inclusivity, diversity, and equity. The Public Affairs Administrative Assistant will be a part of a cohesive team of nine in a busy Public Affairs Department. We are looking for an organized, self-motivated, independent worker with excellent verbal and written communication skills who is outgoing, detail-oriented, and able to meet deadlines while managing multiple competing priorities.  Responsibilities include providing general information and assistance to the public in writing and in person; maintaining an in-house inventory of promotional products, event equipment and supplies at various storage locations; researching, gathering and formatting the latest news articles featuring Midpen and other news stories relevant to the work we do; representing the District at various community events; managing Brown Act notifications for all board meetings; serving as staff liaison for the Legislative, Funding, and Public Affairs Committee (LFPAC) meetings including creation of agenda and minutes and serving as clerk at the meetings; initiating and facilitating the tracking of board/committee reports; creating and distributing agendas and minutes for staff meetings and other committee meetings as needed; and providing general administrative support such as maintaining databases; generating reports; monitoring and ordering related supplies; assisting in preparing, processing, and tracking purchase requisitions and invoices; and filing.  In addition, this position serves as a “hub” for a busy communications department, keeping the team organized and providing event and meeting support. Ideal candidates will have mid-level Excel and Word skills, experience in presentation material software including PowerPoint, as well as basic database software knowledge. Work Environment:  This position requires on-site work in an office environment as part of the Public Affairs Department at the Midpen’s offices in Los Altos, California. Following onboarding and successfully meeting job performance expectations, may be eligible for the flexible work program. This position reports to the Public Affairs Manager or designee.

Education and Experience:  We realize your time is valuable, so please apply only if you have at least the required minimum qualifications outlined here: any combination of training and experience that would provide the required knowledge, skills, and abilities is qualifying. A typical way to obtain the required qualifications would be: equivalent to the completion of twelfth (12th) grade and three (3) years of responsible general office support experience.  The Administrative Assistant should have experience in presentation material software including PowerPoint, mid-level Excel spreadsheet and Word document skills, as well as basic database software knowledge. This position will also include proofreading, formatting, and some writing. Bilingual English/Spanish and prior experience in the public sector are highly desirable.

Licenses & Certifications Required:   Possession of a valid California Driver’s License.
