Summary Description:

The Administrative Assistant works closely with the Division Directors and Development Director to provide efficient and discrete administrative support. They also carry all the functions of managing the Front Desk of the school from 11 a.m. to 6 p.m. daily.

  • Ability to handle sensitive information discreetly and interact tactfully with staff, faculty, students, parents, and other school constituents while maintaining high standards of professionalism, confidentiality, and integrity

Role and Responsibilities:

Front Desk Support (11 a.m. to 6 p.m. daily)

  • Greet all visitors and make them feel welcome
  • Screen, take messages and make phone calls
  • Communicate with a positive, discreet, and professional demeanor in all interactions
  • Help coordinate Monday lunches and faculty events/meals
  • Attend faculty and staff meetings, various committee meetings, school functions, and other events as deemed important by the School’s administrators

Support for the Development Director (two days a week from 9:30 a.m. to 11 a.m.)

  • Maintain a comprehensive stewardship program that includes data entry and donor acknowledgment for giving, event, and volunteer activities in the existing fundraising database
  • Work with the Director and provide administrative support for the St. Matthew’s Fund and fundraising events such as the biennial auction, Grandparents Day, donor recognition events, Count-Me-In events, Alumni dinner. Attendance at evening and weekend events required.
  • Conduct and report on prospective donor research
  • Maintain mailing lists and prepare large mailings, such as for the annual fund solicitations

Support for the Division Directors (three days a week from 9:30 a.m. to 11 a.m.)

  • Gather all pertinent information and materials for meetings
  • Coordinate appointments and schedule calendar for the Division Directors in an efficient and timely manner
  • Anticipate and resolve scheduling conflicts and appropriate pacing of appointments.
  • Perform other duties as directed by the Division Directors

Qualifications:

  • High School Diploma or equivalent required; Associate Degree or higher preferred
  • Experience working in a school environment preferred

Salary:

The salary is dependent upon qualifications and experience.
